A microfilmer is a machine used by the document management industry to create microfilm. These machines are also often called "imagers" in the industry. A microfilmer is a camera that is used to photograph documents to create a more compact and permanent record of the original in the form of roll-film or microfiche. Once the information contained on a paper document has been recorded onto microfilm, the information can be viewed later on a microfilm reader or viewer, or reproduced in paper form on a microfilm reader-printer.
Banking and insurance companies often convert their paper records using microfilmers. Libraries often keep newspapers and magazines which have been converted to roll-film or microfiche form using microfilmers. Microfilmers are often used to preserve government records. Many companies have switched from microfilm to digital imaging systems, which offer more convenient computer retrieval of records.
Microfilmers come in two basic configurations: planetary and rotary. A planetary microfilmer takes a snapshot of a stationary document held on a flat surface. While the picture is being taken, the film and the document do not move. In a rotary microfilmer, both the document and the film are moving in sync with one another while the picture is being taken. This allows for quicker filming of the document. Planetary microfilmers typically offer higher image resolution than rotary filmers, and can more readily film larger documents, as well as odd-shaped documents, such as books.
In the 1951 film When Worlds Collide, a roomful of planetary filmers and their operators are shown as they race against time to preserve crucial books for survivors of a doomed Earth.
An image scanner—often abbreviated to just scanner—is a device that optically scans images, printed text, handwriting or an object and converts it to a digital image. Commonly used in offices are variations of the desktop flatbed scanner where the document is placed on a glass window for scanning. Hand-held scanners, where the device is moved by hand, have evolved from text scanning "wands" to 3D scanners used for industrial design, reverse engineering, test and measurement, orthotics, gaming and other applications. Mechanically driven scanners that move the document are typically used for large-format documents, where a flatbed design would be impractical.
Digitization is the process of converting information into a digital format. The result is the representation of an object, image, sound, document or signal by generating a series of numbers that describe a discrete set of points or samples. The result is called digital representation or, more specifically, a digital image, for the object, and digital form, for the signal. In modern practice, the digitized data is in the form of binary numbers, which facilitate processing by digital computers and other operations, but, strictly speaking, digitizing simply means the conversion of analog source material into a numerical format; the decimal or any other number system that can be used instead.

Records management, also known as records and information management, is an organizational function devoted to the management of information in an organization throughout its life cycle, from the time of creation or receipt to its eventual disposition. This includes identifying, classifying, storing, securing, retrieving, tracking and destroying or permanently preserving records. The ISO 15489-1: 2001 standard defines records management as "[the] field of management responsible for the efficient and systematic control of the creation, receipt, maintenance, use and disposition of records, including the processes for capturing and maintaining evidence of and information about business activities and transactions in the form of records".
Enterprise content management (ECM) extends the concept of content management by adding a timeline for each content item and, possibly, enforcing processes for its creation, approval and distribution. Systems using ECM generally provide a secure repository for managed items, analog or digital. They also include one methods for importing content to bring manage new items, and several presentation methods to make items available for use. Although ECM content may be protected by digital rights management (DRM), it is not required. An aperture card is a type of punched card with a cut-out window into which a chip of microfilm is mounted. Such a card is used for archiving or for making multiple inexpensive copies of a document for ease of distribution. The card is typically punched with machine-readable metadata associated with the microfilm image, and printed across the top of the card for visual identification; it may also be punched by hand in the form of an edge-notched card. The microfilm chip is most commonly 35mm in height, and contains an optically reduced image, usually of some type of reference document, such as an engineering drawing, that is the focus of the archiving process. Machinery exists to automatically store, retrieve, sort, duplicate, create, and digitize cards with a high level of automation.
In library and archival science, preservation is a set of preventive conservation activities aimed at prolonging the life of a record, book, or object while making as few changes as possible. Preservation activities vary widely and may include monitoring the condition of items, maintaining the temperature and humidity in collection storage areas, writing a plan in case of emergencies, digitizing items, writing relevant metadata, and increasing accessibility. Preservation, in this definition, is practiced in a library or an archive by a librarian, archivist, or other professional when they perceive a record is in need of maintenance.
The Brittle Books Program is an initiative carried out by the National Endowment for the Humanities at the request of the United States Congress. The initiative began officially between 1988 and 1989 with the intention to involve the eventual microfilming of over 3 million endangered volumes.
Double Fold: Libraries and the Assault on Paper is a non-fiction book by Nicholson Baker that was published in April 2001. An excerpt appeared in the July 24, 2000 issue of The New Yorker, under the title "Deadline: The Author's Desperate Bid to Save America's Past." This exhaustively researched work details Baker's quest to uncover the fate of thousands of books and newspapers that were replaced and often destroyed during the microfilming boom of the 1980s and 1990s. Double Fold is a controversial work and is not meant to be objective. In the preface, Baker says, "This isn't an impartial piece of reporting", and The New York Times characterized the book as a "blistering and thoroughly idiosyncratic attack".
A paperless office is a work environment in which the use of paper is eliminated or greatly reduced. This is done by converting documents and other papers into digital form, a process known as digitization. Proponents claim that "going paperless" can save money, boost productivity, save space, make documentation and information sharing easier, keep personal information more secure, and help the environment. The concept can be extended to communications outside the office as well.
The National Library of Bhutan (NLB), Thimphu, Bhutan was established in 1967 for the purpose of "preservation and promotion of the rich cultural and religious heritage" of Bhutan. Family History Centers (FHCs) are branches of the Family History Library in Salt Lake City, Utah, operated by The Church of Jesus Christ of Latter-day Saints. It has become increasingly prevalent in the development of films, as well as storage of archived newspapers. With the invention of microfilm, microfilm readers soon developed. When applied to cultural heritage, conservation activities are generally undertaken by a conservator. The primary goal of conservation is to preserve the lifespan of the object as well as maintaining its integrity by keeping all additions reversible. Conservation of books and paper involves techniques of bookbinding, restoration, paper chemistry, and other material technologies including preservation and archival techniques.
