Categories for the Description of Works of Art (CDWA) describes the content of art databases by articulating a conceptual framework for describing and accessing information about works of art, architecture, other material culture, groups and collections of works, and related images. The CDWA includes 532 categories and subcategories. A small subset of categories are considered core in that they represent the minimum information necessary to identify and describe a work. The CDWA includes discussions, basic guidelines for cataloging, and examples. [1]

Purpose

The Categories provide a framework to which existing art information systems can be mapped and upon which new systems can be developed. In addition, the discussions in the CDWA identify vocabulary resources and descriptive practices that will make information residing in diverse systems both more compatible and more accessible.

The use of the CDWA framework will contribute to the integrity and longevity of data and will facilitate its inevitable migration to new systems as informational technology continues to evolve. Above all, it will help to give end-users consistent, reliable access to information, regardless of the system in which it resides.

These guidelines hopefully provide a common ground for reaching agreement on what information should be included in art information systems, and what information will be shared or exchanged with other institutions or systems. Target users are curators, registrars, researchers, information managers, and systems vendors.

History

The CDWA is a product of the Art Information Task Force (AITF), which encouraged dialog between art historians, art information professionals, and information providers so that together they could develop guidelines for describing works of art, architecture, groups of objects, and visual and textual surrogates.

Formed in the early 1990s, the task force was made up of representatives from the communities that provide and use art information: art historians, museum curators and registrars, visual resource professionals, art librarians, information managers, and technical specialists. The work of the AITF was funded by the J. Paul Getty Trust, with a two-year matching grant from the National Endowment for the Humanities (NEH) to the College Art Association (CAA).

The National Endowment for the Humanities (NEH) is an independent federal agency of the U.S. government, established by the National Foundation on the Arts and the Humanities Act of 1965, dedicated to supporting research, education, preservation, and public programs in the humanities. The NEH is housed at 400 7th St SW, Washington, D.C. From 1979 to 2014, NEH was at 1100 Pennsylvania Avenue, N.W., Washington, D.C. in the Nancy Hanks Center at the Old Post Office.

The College Art Association of America, also known as the CAA, is the principal organization in the United States for professionals in the visual arts, from students to art historians to emeritus faculty. Founded in 1911, it "promotes these arts and their understanding through advocacy, intellectual engagement, and a commitment to the diversity of practices and practitioners." CAA currently has individual members across the United States and internationally; and institutional members, such as libraries, academic departments, and museums located in the United States. The organization's programs, standards and guidelines, advocacy, intellectual engagement, and commitment to the diversity of practices and practitioners, align with its broad and diverse membership.

CDWA Lite

ARTstor, the J. Paul Getty Trust, and RLG Programs/OCLC have worked together to develop an XML schema to describe cultural materials and their surrogates to provide an easier and more sustainable model for contributing to union resources. This initiative was driven by the absence of a data content standard specifically designed for unique cultural works, and a technical format for expressing this data in a machine-readable format.

OCLC global library cooperative

OCLC Online Computer Library Center, Incorporated d/b/a OCLC is an American nonprofit cooperative organization "dedicated to the public purposes of furthering access to the world's information and reducing information costs". It was founded in 1967 as the Ohio College Library Center. OCLC and its member libraries cooperatively produce and maintain WorldCat, the largest online public access catalog (OPAC) in the world. OCLC is funded mainly by the fees that libraries have to pay for its services. OCLC also maintains the Dewey Decimal Classification system.

CDWA Lite is an XML schema to describe core records for works of art and material culture based on CDWA and the Cataloging Cultural Objects (CCO) content standard. CDWA Lite records are intended for contribution to union catalogs and other repositories using the Open Archives Initiative (OAI) harvesting protocol. The CDWA Lite schema has been enlarged and integrated into the Lightweight Information Describing Objects (LIDO) schema, which is available on the CIDOC site. [2]

LIDO is an XML schema for describing museum objects. It is applicable to all kinds of objects: art, natural history, technology, cultural objects. LIDO is widely used for harvesting museum data in union catalogs, and as a preliminary step for converting to semantic formats like CIDOC CRM or EDM.

The Getty Thesaurus of Geographic Names is a product of the J. Paul Getty Trust included in the Getty Vocabulary Program. The TGN includes names and associated information about places. Places in TGN include administrative political entities and physical features. Current and historical places are included. Other information related to history, population, culture, art and architecture is included.

The National Information Exchange Model (NIEM) is an XML-based information exchange framework from the United States. NIEM represents a collaborative partnership of agencies and organizations across all levels of government and with private industry. The purpose of this partnership is to effectively and efficiently share critical information at key decision points throughout the whole of the justice, public safety, emergency and disaster management, intelligence, and homeland security enterprise. NIEM is designed to develop, disseminate, and support enterprise-wide information exchange standards and processes that will enable jurisdictions to automate information sharing.

The Art & Architecture Thesaurus (AAT) is a controlled vocabulary used for describing items of art, architecture, and material culture. The AAT contains generic terms, such as "cathedral," but no proper names, such as "Cathedral of Notre Dame." The AAT is used by, among others, museums, art libraries, archives, catalogers, and researchers in art and art history. The AAT is a thesaurus in compliance with ISO and NISO standards including ISO 2788, ISO 25964 and ANSI/NISO Z39.19.

A schema crosswalk is a table that shows equivalent elements in more than one database schema. It maps the elements in one schema to the equivalent elements in another schema.

Metadata data about data

Metadata is "data [information] that provides information about other data". Many distinct types of metadata exist, among these descriptive metadata, structural metadata, administrative metadata, reference metadata and statistical metadata.

The Publishing Requirements for Industry Standard Metadata (PRISM) specification defines a set of XML metadata vocabularies for syndicating, aggregating, post-processing and multi-purposing content. PRISM provides a framework for the interchange and preservation of content and metadata, a collection of elements to describe that content, and a set of controlled vocabularies listing the values for those elements. PRISM can be XML, RDF/XML, or XMP and incorporates Dublin Core elements. PRISM can be thought of as a set of XML tags used to contain the metadata of articles and even tag article content.

The Cultural Objects Name Authority (CONA) is a project by the Getty Research Institute to create a controlled vocabulary containing authority records for cultural works, including architecture and movable works such as paintings, sculpture, prints, drawings, manuscripts, photographs, textiles, ceramics, furniture, other visual media such as frescoes and architectural sculpture, performance art, archaeological artifacts, and various functional objects that are from the realm of material culture and of the type collected by museums. The focus of CONA is works cataloged in scholarly literature, museum collections, visual resources collections, archives, libraries, and indexing projects with a primary emphasis on art, architecture, or archaeology. The target users are the visual resources, academic, and museum communities.

Documentation of cultural property

The documentation of cultural property is a critical aspect of collections care. As stewards of cultural property, museums collect and preserve not only objects but the research and documentation connected to those objects, in order to more effectively care for them. Documenting cultural heritage is a collaborative effort. Essentially, registrars, collection managers, conservators, and curators all contribute to the task of recording and preserving information regarding collections. There are two main types of documentation museums are responsible for: records generated in the registration process—accessions, loans, inventories, etc. and information regarding research on objects and their historical significance. Properly maintaining both types of documentation is vital to preserving cultural heritage.

A Collections Management System (CMS), sometimes called a Collections Information System, is software used by the collections staff of a collecting institution or by individual private collectors and collecting hobbyists or enthusiasts. Collecting institutions are primarily museums and archives and cover a very broad range from huge, international institutions, to very small or niche-specialty institutions such as local historical museums and preservation societies. Secondarily, libraries and galleries are also collecting institutions. Collections Management Systems (CMSs) allow individuals or collecting institutions to organize, control, and manage their collections' objects by “tracking all information related to and about” those objects. In larger institutions, the CMS may be used by collections staff such as registrars, collections managers, and curators to record information such as object locations, provenance, curatorial information, conservation reports, professional appraisals, and exhibition histories. All of this recorded information is then also accessed and used by other institutional departments such as “education, membership, accounting, and administration."
