Memory institution

A memory institution is an organization maintaining a repository of public knowledge, a generic term used about institutions such as libraries, archives, heritage (monuments & sites) institutions, aquaria and arboreta, and zoological and botanical gardens, as well as providers of digital libraries and data aggregation services which serve as memories for given societies or mankind. [1] Memory institutions serve the purpose of documenting, contextualizing, preserving and indexing elements of human culture and collective memory. These institutions allow and enable society to better understand themselves, their past, and how the past impacts their future. [2]  These repositories are ultimately preservers of communities, languages, cultures, customs, tribes, and individuality. [1] Memory institutions are repositories of knowledge, while also being actors of the transitions of knowledge and memory to the community. These institutions ultimately remain some form of collective memory. [1] Increasingly such institutions are considered as a part of a unified documentation and information science perspective.

Archives are repositories that collect, organize, preserve, and allow for access to the institution's primary source materials which include letters, reports, accounts, minute books, photographs, and manuscripts of the government, businesses, and members of the community. [3]  Most archival collections include permanent and valuable records of historical and evidential value. Archives fall in line with memory institutions because they provide surrogates for collective human memory. Archives collect materials to help communities, institutions, nations to better understand themselves, their past, understand the present and prepare for the future. [3] Libraries are defined as a collection of resources that are made available to the community in the form of print materials such as books and periodicals by information professionals. Beyond books and periodicals, libraries also offer a variety of services and programs to the community in which they serve with the goal of educating and advancing society. [4] Museums are a place where objects that contain permanent historical and cultural value such as works of art, three-dimensional objects, and scientific specimens.  Museum can be characterized as historical, scientific, art institutions, heritage institutions, aquaria and arboreta, and zoological and botanical gardens. [5]

Lorcan Dempsey may have introduced the term into popular use at the beginning of the 21st century in library and information science, [6] although others, such as Joan Schwarz, used it earlier. [7] It also appeared in a 1972 report to the Council on Library Resources. [8]

Helena Robinson (2012) criticized the term when she wrote, "[r]ather than revealing the essential affiliation between museums, libraries and archives, their sweeping classification as 'memory institutions' in the public sector and the academy oversimplifies the concept of memory, and marginalises domain-specific approaches to the cataloguing, description, interpretation and deployment of collections that lead museums, libraries and archives to engage with history, meaning and memory in significantly different ways." [9]

Memory institutions in the Digital Age

The primary goals of memory institutions are to preserve and document the memory of society, but also to allow open access to collections. In the digital age, memory institutions are faced with the task of digitizing their analogue collections as well as taking in born digital materials. Digitization is the process of transforming analogue materials into a digital format primarily for storage and use on a computer. [10] Digitization in memory institutions allows for great access to the repositories' collections at any time and from anywhere around the world. The digitization of collections in memory institutions assists with preservations concerns. With collections being made available online, the materials are faced with less abuse from being handled regularly. [11] Another important factor with digitization is that it can decentralize and democratize memory institutions and social remembering practices. [12]

While there are several positive aspects when digitizing collections in memory intuitions there are some cons to consider. One of strains on digitization for memory institutions is the cost that has to be considered. Digital collections will still need maintenance and updated as technology and software changes. The institutions' staff have to be properly trained to deal with digitization and changing technologies. Digitization projects can take a lot of time, money, and resources from institutions that are already lacking these things. [13] Having collections available online will lead to reduced access and engagement to the physical collection, which the user might prefer. Memory institutions also need to consider the legal ramifications such as copyright and data protection. Ethics and privacy concerns with digital collections also need to be considered. There is also a fear that people will not come to the memory institutions because they can do their research or gain their knowledge from their online presence. [13]

It involves planning, resource allocation, and application of preservation methods and technologies, and it combines policies, strategies and actions to ensure access to reformatted and "born-digital" content, regardless of the challenges of media failure and technological change. The goal of digital preservation is the accurate rendering of authenticated content over time. The Association for Library Collections and Technical Services Preservation and Reformatting Section of the American Library Association, defined digital preservation as combination of "policies, strategies and actions that ensure access to digital content over time." According to the Harrod's Librarian Glossary, digital preservation is the method of keeping digital material alive so that they remain usable as technological advances render original hardware and software specification obsolete.

A finding aid, in the context of archival science, is an organization tool, a document containing detailed, indexed, and processed metadata and other information about a specific collection of records within an archive. Finding aids often consist of a documentary inventory and description of the materials, their source, and their structure. The finding aid for a fonds is usually compiled by the collection's entity of origin, provenance, or by an archivist during archival processing, and may be considered the archival science equivalent of a library catalog or a museum collection catalog. The finding aid serves the purpose of locating specific information within the collection. The finding aid can also help the archival repository manage their materials and resources. The history of finding aids mirrors the history of information. Ancient Sumerians had their own systems of indexes to locate bureaucratic and administrative records. Finding aids in the 19th and 20th centuries were paper documents, such as lists or index cards. In the 21st century, they can be created in electronic formats like spreadsheets or databases. The standard machine-readable format for manuscript collection finding aids, widely used in the United States, Canada, the United Kingdom, France, Australia and elsewhere, is Encoded Archival Description.

Oral history preservation is the field that deals with the care and upkeep of oral history materials, whatever format they may be in. Oral history is a method of historical documentation, using interviews with living survivors of the time being investigated. Oral history often touches on topics scarcely touched on by written documents, and by doing so, fills in the gaps of records that make up early historical documents.

Digital curation is the selection, preservation, maintenance, collection, and archiving of digital assets. Digital curation establishes, maintains, and adds value to repositories of digital data for present and future use. This is often accomplished by archivists, librarians, scientists, historians, and scholars. Enterprises are starting to use digital curation to improve the quality of information and data within their operational and strategic processes. Successful digital curation will mitigate digital obsolescence, keeping the information accessible to users indefinitely. Digital curation includes digital asset management, data curation, digital preservation, and electronic records management.

A digital library, also called an online library, an internet library, a digital repository, a library without walls, or a digital collection, is an online database of digital objects that can include text, still images, audio, video, digital documents, or other digital media formats or a library accessible through the internet. Objects can consist of digitized content like print or photographs, as well as originally produced digital content like word processor files or social media posts. In addition to storing content, digital libraries provide means for organizing, searching, and retrieving the content contained in the collection. Digital libraries can vary immensely in size and scope, and can be maintained by individuals or organizations. The digital content may be stored locally, or accessed remotely via computer networks. These information retrieval systems are able to exchange information with each other through interoperability and sustainability.

Digital repatriation is the return of items of cultural heritage in a digital format to the communities from which they originated. The term originated from within anthropology, and typically referred to the creation of digital photographs of ethnographic material, which would then be made available to members of the originating culture. However, the term has also been applied to museum, library, and archives collections, and can refer not only to digital photographs of items, but also digital collections and virtual exhibits including 3D scans and audio recordings. Intangible cultural heritage, which includes traditional skills and knowledge, can also be digitally repatriated to communities.

Meredith Evans is an archivist, historian and scholar and the director of the Jimmy Carter Library and Museum in Atlanta. Her work focuses on the African-American experience in the United States, including the documentation of archival records from African-American churches in the Atlanta area, and the preservation of social media from recent civil rights protests such as those of the Ferguson unrest in Ferguson, Missouri after the shooting of Michael Brown.

Indigenous librarianship is a distinct field of librarianship that brings Indigenous approaches to areas such as knowledge organization, collection development, library and information services, language and cultural practices, and education. The Encyclopedia of Library and Information Sciences states that Indigenous librarianship emerged as a "distinct field of practice and an arena for international scholarship in the late twentieth century bolstered by a global recognition of the value and vulnerability of Indigenous knowledge systems, and of the right of Indigenous peoples to control them."

Ricardo L. Punzalan is a Filipino American archivist who is an Associate Professor of Information at the University of Michigan School of Information. He has shaped the fields of archival science, virtual reunification, repatriation, reparative description, and has studied the nature of collections in both museums and archives. He holds undergraduate and Masters degrees from the University of the Philippines and a doctorate in information science from the University of Michigan.
